What personal information do I collect?

During the course of setting you up as a client, I will require certain personal data for my records and to understand your requirements. The personal data I collect may include the following (to the extent that you have not already provided me with this information in the course of our initial communications):

  • Your email address

  • Your date of birth

  • Your address/location

  • Your telephone number

  • Your responses to any initial worksheets or questionnaires which I provide for you and you choose to complete in order for me to understand your aims and requirements

  • Any personal data which you choose to provide in your communications with me

In the course of your coaching sessions, you will provide me with personal data relating to your circumstances and the aims and outcomes of coaching, along with any other information you wish to share, including in response to questions and advice raised by me. The specific types of personal data discussed in our sessions may vary depending on your personal circumstances, but all data is voluntarily provided by you rather than obtained from any third party.

During the course of your coaching sessions, I may create personal data consisting of the following:

  • Notes taken during a coaching session and any post-session write-ups

  • Records and logs of coaching sessions and client details

Financial Information

If you use the Timely Coaching website to make payments for services, I will keep a record of any financial transaction you make with me if the functionality to take payments online has been deployed. To the extent that any online payments are processed by third-party payment providers, such as Stripe and PayPal, please refer to their privacy policies for details on how your payment card data is processed. Stripe’s privacy policy can be found at stripe.com/privacy, and PayPal’s can be found at paypal.com. I do not directly collect or process your debit or credit card information.

How will your personal information be used?

I will only process your personal data where I have a lawful basis for doing so under data protection legislation. These lawful bases include:

  • Compliance with a legal obligation that I am subject to

  • Legitimate interests, provided such interests are not overridden by your interests or fundamental rights and freedoms

  • Your consent, where requested

Specifically, I will process your personal data for the following purposes:

  • To administer my business and services, including customer service provision and communications with my clients. The legal basis for this processing is legitimate interests, specifically for the provision of coaching services, client relationship management, and the maintenance of client and business records.

  • To provide coaching services to clients. The legal basis for this processing is legitimate interests in respect of personal data that is not classified as special category data. Where special category data is processed, I will rely on your explicit consent.

  • To market products and services that I believe may be of interest or benefit to you. The legal basis for this processing is legitimate interests, specifically the promotion of my products and services.

  • For legal or regulatory purposes. The legal basis for this processing is compliance with legal obligations to which I am subject.

Data Sharing & Use of Third-Party Processors

I use third-party service providers to support the operation of my business. These providers may process personal data on my behalf. The following third-party services are used:

  • Google Workspace (including Gmail & Google Meet) – For email communications and scheduling

  • Zoom – For virtual coaching sessions

  • Squarespace – Website hosting and forms

  • Stripe – Payment processing

  • Microsoft OneDrive – Secure document storage

All third-party providers are contractually obligated to comply with UK GDPR and data protection laws.

International Data Transfers

Some of these third-party service providers store or process data outside the UK. Where this occurs, I ensure appropriate safeguards are in place, such as:

  • UK GDPR adequacy decisions (where applicable)

  • Standard Contractual Clauses (SCCs) approved by the UK and EU

  • UK-US Data Bridge for US-based providers
